Send Faxes

Send faxes with this step-by-step guide!
In the current global economy, it is vitally important to know how to send faxes quickly and efficiently. Using faxes to share important documents not only cuts down on unnecessary face time with clients and other business owners.
However, it also saves on actual time needed for a project, which allows employees to spend time on more important matters.
There are three ways to send faxes. Each has its own positives and negatives, which we will discuss briefly.
1. Using a fax machine. The positive of using fax machines is that you can do so without having to purchase one because many office supply stores offer fax services for a nominal fee. The downside is that they tie up phone lines. They also use lots of paper and take up valuable time.
2. Using the internet and an additional phone line. This option frees you from being tied to your desk and uses less paper, but it also incurs additional fees for the extra phone line.
3. Using an online fax number. This alternative saves time, paper, and hidden fees from additional phone lines. It also frees you from your desk. Of the three choices, this one tends to be the most efficient and economical.
Since using an online fax number is the most efficient and environmentally-friendly alternative, that is the method for which we will provide a step-by-step instructional guide on how to send faxes.
Step 1: Sign up for an email service account. gMail is an excellent choice.
Step 2: Select an online fax number. There are websites you can visit to research which service is right for you, but RingCentral offers a top quality fax service you should not miss.
This company currently offers a 30-day free trial, which is highly recommended. You will have to pay a fee for this online fax service once the trial ends, but the free ones that are available are simply not as efficient. Do not forget to enter your new email address during the setup.
Step 3: Open up your email account and click “Compose Mail.”
Step 4: Write your email. You can attach any documents you want to fax, or you can type in what you want to fax in the message part of the window. You can also combine the two strategies.
Step 5: In the window where you would normally type in the recipient email address, type in the fax number. Be sure to include the fax company’s extension, like this...
Step 6: Spell check your document, and look over it to make sure you have included all the important information you wish to send. Then click “Send.”
Once you have the process down, sending a fax online is a piece of cake. This step-by-step guide provides you with all the information you need to send faxes online.
